How to Regain Control of Your Zoom Meeting

Question: What Do I Do if Someone is Disruptive in My Zoom Meeting?

If they’re making noise, mute them.
Look at the Participants Panel. The noisy person’s name will float toward the top of the list and their microphone icon will be moving up and down. Hover over their name and click MUTE.

If they’re sharing their webcam, disable it.
Hover over the webcam thumbnail. Click the blue […] button. Click STOP VIDEO. They will not be able to share their webcam for the rest of the meeting.

If they’re sharing their screen or another program on their computer, stop screen sharing.
From the Zoom Host toolbar, click SECURITY and uncheck SCREEN SHARING. Before your next meeting, go to your Zoom settings and change Screen sharing to “Host Only.”

If they’re drawing on the screen, disable Annotation.
From the Zoom Host toolbar, click SECURITY and uncheck Annotation. Before your next meeting, go to your Zoom settings and turn off Annotation.

If they shouldn’t be in your room at all, remove them.
Hover over their name in the Participant Panel or over their webcam thumbnail and click REMOVE.

Question: How can I stop pranksters from getting into my Zoom room in the first place?

Gentle Solution: Enable the Waiting Room when scheduling the meeting.
The host must allow participants into the room from the Participant Panel.

Gentle Solution: Set a password.
This will only stop professional hackers who are randomly generating URLs. It won’t stop students from sharing the URL and password with their friends.

Firmer Solution: Require authentication.
Request all meeting participants to log in with their myNOVA credentials before being allowed to join a meeting. Please reference the “Only Authenticated Users Can Join” document before using this setting.

Question: How can I see the list of students who were in a meeting?
Log into Zoom. Click the blue Settings button. Click Reports > Usage report. Find the date and time of the meeting and click the blue number in the Participants column. If you did not require authentication, students’ usernames will display. If you require authentication, their names and VCCS email addresses will display.
