Reminder to Update Zoom to 5.0x by May 31; Check Security Settings

Please remember that you must update Zoom to version 5.0x by the end of May. See the attached directions if you have not already done it. Also,  remind your students, too. You probably will get a pop-up reminder to do the update directly from Zoom. It is a quick and easy process. NVCC_Update_Your_Zoom_Client_on_Windows_and_Mac_How_To

Check your security settings to keep your Zoom sessions safe.

ZOOM SECURITY SETTINGS
Please review since some may be NEW to you

Use a password for all meetings, including, join by phone, “one-click join,” and personal meeting rooms
TIP: Keep the random password assigned to the meeting.

Turn on the waiting room for all for all meetings and set it so authenticated users can bypass it.
TIP: Participants who have signed on through myNOVA once on their computer/phone can skip the waiting room.
TIP: Be sure to open PARTICIPANTS to watch for people to admit.

Be careful about sharing the meeting link. Do not post it in social media or on a public site.
TIP: If the link needs to be published for users you may not know, consider using pre-registration function.
TIP: Use the random meeting number for classes and meetings. If you use your personal meeting number, it is the same for everything and can easily be compromised.

Limit Screen Sharing to the host.
TIP: If participants need to share a screen during the meeting, give them access during the meeting.
TIP: Annotation is turned off.

Set Participants to mute on entry.
TIP: Be sure unmute all when you join the meeting.

Turn off Private Chat. Chat for all is turned on.
TIP: If you really want Private Chat, you must change the setting.

If you remove a participant during a meeting, they cannot rejoin.

Only the host can record a meeting, download and distribute the link to the recording.

All recordings have passwords.
TIP: Be sure to share the password with the recording link or post it with the link where only those you want to view it have access.
TIP: A password prevents random viewers from searching for the recording link, you can also change the name of the recording to protect it from random searches.

Set up, Host, and Start meetings through myNOVA or http://vccs.zoom.us.
TIP: If you get a time limit on your meeting, log off Zoom in your profile and login again through myNOVA.

The ability for users to change their name is turned off.

Do not share personal/sensitive information in a Zoom invitation or in a Zoom meeting.
