REMINDER: State Employee Email Signature Requirement

February 5, 2021 / HR News/Training

In November 2020, the Virginia General Assembly approved new email signature requirements mandating that all employees with state email addresses and state phone numbers include contact information within their email signature. At a minimum, this should include an office phone number and/or state cell phone number.

This requirement seeks to improve government accessibility to employees who work remotely, particularly during the COVID-19 pandemic.

Thank you in advance for your compliance with this state requirement.

Also, keep in mind that NOVA’s Marketing Department has rolled out an updated NOVA brand to emphasize the “One NOVA” concept. One simple way to help support the NOVA brand is with a more standardized email signature. We understand why people like to customize their email signatures, but remember: consistency is important. We are all NOVA brand ambassadors, and incorporating the brand as much as possible makes a big impact. That is why your email should follow the format in the image, without alterations in color or size. You can copy and paste the example in the Email Signature page on the brand site and fill in your details.

When you copy and paste the example, keep in mind the font, size, and color could possibly change because we use different computers, devices, browsers, etc. Please make sure you make the adjustments needed to make sure your email signature resembles the example.

You can also visit the brand site for additional information or please contact marketing@nvcc.edu for any questions you may have.
