Important Guidance on Disclosing Vaccine Status or Submitting Weekly Test Results

As Governor Northam announced on August 5, 2021, all state employees and contractors–including NOVA employees–are required to disclose their COVID-19 vaccination status by Wednesday, September 1. Ahead of that deadline, Charlotte Calobrisi, AVP of Human Resources, provided additional details and guidance on how to disclose your vaccination status/submit weekly test results (if applicable) to ensure full compliance with Governor Northam’s Executive Directive #18 (2021).

The Executive Directive applies to all NOVA employees, including full-time and part-time faculty and staff, adjunct faculty, wage employees, volunteers, work-study students and interns. To help you disclose your vaccination status or test results, NOVA Human Resources has established procedures for:

  1. submitting and uploading COVID-19 vaccination cards,
  2. distributing NOVA issued COVID-19 testing kits (self-administered),
  3. verifying testing requirements (if applicable),
  4. providing exemptions to the testing requirement (if applicable) and
  5. disciplinary actions for non-compliance.

Secure COVID-19 Employee Portal
A secure and confidential online portal, NOVA COVID-19 Employee Vaccination and Testing Status, has been established for employees to access and submit the required information and documentation. Additional resources and documents are also available on this site. Specific information for work-study students and volunteers will be communicated separately.

Vaccination Status Disclosure
By Wednesday, September 1, 2021, all employees are required to log in to the portal and disclose their vaccination status. Employees who are fully vaccinated must upload their vaccination card. For the purposes of the Governor’s Directive, those who satisfy this step are in full compliance with the Governor’s directive.

Weekly COVID-19 Testing and Disclosure
Beginning Monday, September 6, 2021, employees who are not fully vaccinated are required to undergo weekly COVID-19 testing and disclose their results through the portal. NOVA has secured FDA-approved test kits for this purpose, so there is no cost to the employee to take this weekly test. The online system will require the Testing Attestation Form to be submitted each Monday, beginning Monday, September 13, 2021.
