Open Period to Request One Day of Telework, Available thru Feb. 3

January 31, 2023 / HR News/Training

NOVA is opening the portal to submit the electronic Standard Telework Agreement (Form 105-109) to request one day of telework for full-time, non-probationary classified staff and administrative/professional faculty.

The portal to access the electronic form will be open the week of January 30 through February 3.

Please note:

  • The telework process does not apply to teaching faculty.
  • Employees who already have an approved telework agreement do not have to reapply at this time.
  • Employees who are still in their probationary period, and P14s whose positions have not been designated and approved as remote, are not eligible to apply for telework.
  • Final approval on each telework application will be made by the president pursuant to the authority delegated by the chancellor per DHRM Policy 1.61 – Teleworking.

The eligibility criteria for one-day requests at NOVA are classified staff and administrative/professional faculty who hold positions that, based on their current EWPs on file within Human Resources, have the following designations:

  • Supervisory responsibilities for a division or office that consists exclusively of remote operations, offers exclusively online/remote services to students and/or employees, and includes no employees with on-site responsibilities; OR
  • No supervisory responsibilities and provides in-person direct services to students and/or other employees for less than 30% of their job responsibilities; OR
  • No supervisory responsibilities and rely on regular interaction with other NOVA employees to complete less than 30% of their job responsibilities.

While employees who have completed their probationary period since last May are welcome to apply, under DHRM Policy 1.61 – Teleworking, teleworking is a benefit for state employees rather than an obligation of the Commonwealth.

NOVA’s adoption of the standards of DHRM Policy 1.61 – Teleworking and the Standard Telework Agreement for all non-teaching employees extend to the Terms of Telework Agreement included on the application form. Employees and supervisors should read and understand the Terms of Telework Agreement provided on the DHRM Standard Telework Agreement before moving forward with any request. Failure by employees and/or supervisors to follow the Terms of Telework Agreement will result in immediate suspension of employee telework and may result in disciplinary action.

All telework requests are required to be reviewed by the applicant’s immediate supervisor and include the supervisor’s attestation and signature. Supervisors are expected to walk through each element of DHRM Policy 1.61 – Teleworking and the terms of the telework agreement. A review of a telework request includes but is not limited to the following responsibilities of supervisors as identified in DHRM Policy 1.61 – Teleworking:

  • Determining which positions are appropriate for telework, operations of their agency.
  • Assessing the individual and team objectives and overall performance expectations of the team when awarding new telework agreements.
  • Ensuring that individual telework agreements reflect specific days of on-site work that are consistent with effective delivery of services and team collaboration.
