2023 Summer Flex Schedule

This summer, NOVA will offer the option of a flex work schedule to full-time administrative/professional faculty and classified staff. The summer flex work schedule will begin June 5, 2023 and go through August 5, 2023. Approval from the supervisor and the appropriate Administrative Council member is required. Additionally, if you are on a hybrid telework schedule, your flex day cannot be on a day that you are scheduled to work in the office. Complete the Summer Flex Form 2023 and work with your supervisor for approval if you’re interested in this option.

Full-time employees will have the option of working one of the following flex work schedules only:

  1. Four 10-hour days with one flex day
  2. Four 9-hour days and one 4-hour day with four hours of flex

Employee Responsibilities/Expectations

  • Employees must work a total of 40 hours each work week.
  • Non-exempt employees are expected to submit time in accordance with the approved flex work schedule, as non-exempt employees are paid for the hours worked.
  • Exempt employees are responsible for completing work responsibilities, regardless of flex schedule, as exempt employees are paid for the work performed.
  • Any leave submitted while on a flex work schedule needs to reflect the hours missed while flexing schedule (example: If you work four 10-hour days, Monday through Thursday, and you take leave on Monday, then you will submit 10 hours of leave).
  • Employees are expected to coordinate with their supervisor, so that the flex day is established for the duration of the summer (example: If Wednesday is your chosen and approved flex day, you need to maintain this through the duration of the summer). Your flex day cannot alternate.

Supervisor Responsibilities/Expectations

  • Supervisors are responsible for assuring that business needs are met.
  • Supervisors are responsible for managing staffing needs to ensure that college services are available to meet the needs of the College and department.
  • Supervisors are expected to manage work performance of staff.
  • To the extent possible, supervisors are expected to permit flex scheduling for all interested full-time employees in support of this initiative to provide some balance of work and life for our workforce.

In order to record the flex work schedules in HCM, Human Resources will need to load the temporary flex work schedule for each employee. Employees who have been approved to participate in the flex work schedule must complete the 2023 Summer Flex Schedule Form, obtain approval from the supervisor and appropriate Administrative Council member, and submit the completed form to Human Resources at benefits@nvcc.edu.

Summer Flex Form 2023 must be received in Human Resources by COB on Friday, May 26, 2023.

Every effort will be made to offer this scheduling option to those employees who are eligible and interested. If flex scheduling interferes with business needs, adjustments to the flex work schedule may be necessary.

In all instances, we encourage supervisors to apply flex scheduling in a fair, objective manner.
