What Are Interim Assignments?

Interim assignments assist the College in addressing a critical operational need when a position of strategic or operational significance is vacant and immediate resourcing is required. Interim appointments provide opportunities for NOVA employees to develop professionally as they gather new experiences and skills.

When a position is vacant and the department needs to fill it for a limited period of time (up to one year), the department supervisor, in consultation with the appropriate Administrative Council member, may make an interim appointment of an existing employee. Generally, interim assignments cover a period of greater than 30 days but should not extend beyond one year. Assignments that last more than one year require approval by the President. While there are no explicit or implicit promises of future assignment based on an employee’s appointment to an interim role, employees serving in an interim role are eligible to apply for any positions that are posted.

For positions at the dean/director level and higher, the supervisor should coordinate with Human Resources to post an announcement of the opportunity in the Daily Flyer to allow employees from across the College to submit a letter of interest. The call for letters of interest for the interim position should be posted in the Daily Flyer for a minimum of 5 calendar days. The recruitment for the permanent position will begin at the time the interim assignment is being finalized.

The announcement for an interim position should include a general description of the duties and responsibilities of the position as well as the minimum qualifications required. Interested employees who meet the minimum requirements for the interim position may be asked to meet with the supervisor.

The individual assuming the interim assignment must meet the minimum educational and experience requirements for the position. The supervisor should consult with Human Resources to ensure the employee being considered satisfies the minimum requirements of the position. The supervisor must notify the employee’s supervisor to discuss the impact of this assignment on the college prior to offering the assignment to the selected employee. The employee assigned to an interim position will be compensated in accordance with DRHM and/or VCCS policies for the duration of the appointment.
